Example (fictional data)

Small bakery, 3 staff paid weekly. Thursday: hours confirmed, PAYE calculated, 3 payslips sent. The payday filing for the pay run goes to Inland Revenue the same day; the owner sees what has been filed and what tax is due.

How it works

In New Zealand an employer reports employment information to Inland Revenue for every pay run — this is payday filing. myIR accepts the filing, but it does not calculate anyone's pay: the hours, rates, PAYE and deductions still have to be worked out somewhere. For a business with one to five staff that somewhere is often a spreadsheet and an evening after closing.

PaydayFile does the pay run and the filing together. You add each employee once: tax code, pay rate, hours or salary, pay frequency and the deductions that apply to them. For each pay run you confirm the hours, add any extra pay, and the service calculates gross pay, PAYE and other deductions, and net pay.

Payslips go to employees by email. At the same time the employment information for the pay run is prepared for Inland Revenue, and you send it from the service instead of keying it into myIR. You see the status of each filing, so you know which pay runs have been reported.

Leave is tracked with every pay run: leave accrued and leave taken. When an employee asks how much leave they have left, the answer is in the app rather than in a notebook.

Reminders come before each pay day and before tax payments are due. The history of every pay run stays available, so your accountant can review the year without asking you to rebuild it.

The service is built for small employers — cafés, trades, shops, clinics and small offices — with one to five staff. Pricing follows the way small employers pay: per pay run, with a small amount per employee, so a fortnightly payroll for two people costs less than a weekly payroll for five.

You can stop at any time; your payroll history stays available for export. If your business grows beyond five staff, the same account keeps working.

Getting started takes one sitting. You add your business and each employee once, and if you are switching during the year you enter the leave balances and the pay history you already have, so nothing starts from zero. A first trial pay run shows all figures before anything is approved or filed, and you can compare it with your last payslips to check that the numbers match before you switch over completely. Changes to a pay rate or hours are recorded with the date they apply from.

We are not Inland Revenue and do not give tax advice. You remain responsible for the information you enter and for your filings; the service prepares the calculations and sends what you approve.
